Your ERPNext implementation partner will make or break your digital transformation. The software is only 30% of the equation. This guide gives you a no-nonsense framework for evaluating and selecting the right partner for your business.

Why the Partner Matters More Than the Software

ERPNext is open-source, well-documented, and community-supported. The code is the same whether you hire an intern or an expert. What varies dramatically is how the system gets configured, how your data gets migrated, how your team gets trained, and who answers the phone when something breaks at month-end. The partner is the variable. Choose carefully.

The 6 Criteria That Actually Matter

1. Industry Experience in Your Sector

A partner who has implemented ERPNext for 10 trading companies will struggle with your manufacturing BOM and routing setup. Ask specifically: "How many manufacturing/trading/healthcare clients have you implemented? Can you share two references from my industry?"

Why it matters: Each industry has unique workflows. Manufacturing needs BOM + Work Orders. Healthcare needs prescription tracking. Trading needs multi-party billing. Generic ERP experience is not enough.

2. Deep Indian Compliance Knowledge

GST e-invoicing (IRN generation), TDS under Sections 194C, 194J, 194Q, TCS, GSTR-1 & 3B reconciliation, e-Way Bill - these are non-negotiable for any Indian business. Your partner must demonstrate they have implemented these, not just read the documentation.

Test question: "If my GSTR-1 and GSTR-3B show a mismatch after implementation, how will you diagnose and fix it?" A good partner answers this without hesitation.

3. Frappe Framework Development Capability

Every business has at least one workflow that doesn't fit standard ERPNext. Your partner must have the ability to build custom Frappe apps, write server scripts, and create custom reports - not just configure the standard product.

Ask to see their GitHub or a custom app they built for a client. If they can't demonstrate custom development, you'll hit a wall the moment you need your first deviation from standard functionality.

4. Post-Go-Live Support Structure

Implementation is 3–5 months. You'll use the system for 5–10 years. What happens after go-live? Ask about their Annual Maintenance Contract (AMC) structure, response SLA for critical issues, and whether the same team that implemented stays on for support.

Beware of partners who are excellent at sales but hand you off to a junior team post go-live. Month-end closing issues need experienced consultants, not freshers.

5. Structured Implementation Methodology

Professional partners follow a documented implementation process: discovery, FRD, configuration, data migration, UAT, training, go-live, and hypercare. Ask to see their implementation SOP or project plan template. Improvised implementations almost always miss go-live dates.

6. Transparent, Fixed-Scope Pricing

The worst kind of partner is one who quotes low and charges extra for every small change. Insist on a fixed-scope proposal with clearly defined deliverables, a change request process for scope additions, and milestone-based payment terms (not 100% upfront).

  3. Who will be my primary point of contact during implementation? Will that person also handle post-go-live support?

  5. What is your process for handling scope changes or additional customization requests during the project?
  6. How do you configure GST e-invoicing and TDS in ERPNext? Walk me through it.
  7. What does your user training program look like - how many sessions, how many hours?
  8. What is your post-go-live support SLA for critical issues (e.g., invoice not generating, stock discrepancy)?
  9. Do you have an AMC contract? What does it include and exclude?
  10. What are the top 3 reasons ERPNext implementations fail, in your experience?

Red Flags: Walk Away From a Partner Who…
