The Connected Distribution Cycle

We implement an end-to-end flow where data moves instantly from the warehouse to the dealer's shelf.

1. Procurement & Stock

Central purchasing, batch tracking, and transfers to regional warehouses.

2. Route Planning

Assign beat plans, load vehicles, and allocate stock to sales agents.

3. Field Sales

Agents capture orders, collect payments, and print invoices on mobile.

4. Settlement

Day-end reconciliation, cash deposit matching, and dealer commission calculation.

Capabilities

Built for the complexity of channel sales.

We combine ERPNext's core inventory modules with custom DMS workflows to handle the nuances of price lists, credit limits, and returns.

Why upgrade from legacy systems?

  • Real-time stock visibility across all depots
  • Enforce credit limits automatically at order entry
  • Reduce "van sales" shrinkage and theft

Advanced Pricing Engine

Manage complex pricing structures including regional price lists, volume-based discounts, promotional schemes (Buy X Get Y), and customer-specific overrides.

Credit Control & Limits

Stop bad debt before it happens. Set hard/soft credit limits based on outstanding invoices or PDC holdings. Auto-block orders when limits are breached.

Route & Van Sales

Treat delivery vehicles as "Mobile Warehouses." Track stock loaded vs. sold vs. returned. Reconcile cash and inventory at the end of every beat.

Returns & Claims (RMA)

Streamlined workflows for expiry returns, damage claims, and warranty processing. Ensure credit notes are linked to original invoices.

How we implement DMS

We don't "rip and replace" overnight. We recommend a 6-8 week pilot program.

1. Scope

We map your dealer tiers, complicated pricing rules, and warehouse hierarchy.

2. Pilot

Go live with one region or one route. Test mobile app adoption and settlement logic.

3. Rollout

Expand to all territories. Turn on automated dealer portals and bank integrations.

Common Questions

Everything you need to know about migrating your distribution network to ERPNext.

Can't find your answer? Contact us →

Can ERPNext support offline mobile orders?

Yes. For areas with poor connectivity, we deploy a lightweight mobile interface (PWA) that caches products and customer data. Agents can punch orders offline, which sync automatically once connectivity is restored.

How do you handle secondary sales data?

We can set up a "Distributor Portal" where your dealers log in to record their sales to retailers (Secondary Sales). This gives you visibility into the actual consumption at the retail level, not just what you sold to the distributor.

Can we integrate with 3PL providers?

Absolutely. We use ERPNext's API to push delivery orders to 3PL systems (like FedEx, Delhivery, or proprietary TMS) and pull back tracking numbers and Proof of Delivery (POD) status.
